Helped OVB turn client needs into one complete protocol.

OVB Allfinanz Slovakia helps clients navigate the complex world of finance. We built Multiprotokol, a custom internal application that enables OVB’s financial advisors to understand clients’ needs, recommend suitable solutions, and generate the necessary documentation in one streamlined workflow.

The process results in a single protocol documenting the client’s needs and the advisor’s recommendations. Previously, each product required a separate protocol. Multiprotokol brings them together in one document, while consolidating existing client information and guiding advisors through every step, from gathering requirements and completing necessary reviews to signing the final document.

Cut protocol preparation time in half.

50%less protocol preparation time
11,000+protocols per month on average
2,000monthly active users

OVB reported a 50% reduction in protocol preparation time. With more than 11,000 protocols created in an average month, the improvement affected a frequent part of advisors’ work. The project also improved the consistency of the information in those records.

Less repeated work for clients choosing several products.

The previous application was slow, unstable and limited to one product per protocol. A client considering both insurance and investments meant preparing separate records. Each additional product brought another round of repeated administration.

Simply putting everything into a longer form would not solve the problem. Different products and financial providers required different information. Some cases also needed legal review. The application had to bring these requirements together while making the work manageable for the advisor.

Kept client details, reviews and signing in one workflow.

OVB provided the initial design direction and high-level requirements. Outloud built the working application: the interface advisors use, the database behind it, the connections to existing systems, and the rules that determine what happens next.

Our approach to workflow automation for financial advisors centred on five practical capabilities:

  • Several products in one protocol. Advisors can prepare a combined client solution without starting a separate record for every product.
  • Connected client information. The application retrieves available data from existing systems, reducing what needs to be entered again.
  • Guided forms and progress tracking. Advisors can see the information required and what remains to complete.
  • Checks and review paths. The software evaluates collected information and can pause a case that needs legal approval.
  • Connected signing and SMS notifications. External services support completing the documentation within the wider workflow.

Different product categories can be included in one client solution.

Reused client information instead of entering it again.

Reducing repeated data entry depended on information held elsewhere. We mapped OVB’s existing data structures and connected Multiprotokol through APIs and direct database synchronisation where possible.

Some of those structures had limited documentation. External partners offered different interfaces and could not accommodate every requirement. We had to establish which information the application could retrieve reliably and which details the advisor still needed to supply.

This work shaped the forms as much as the connections behind them. The software needed to use available information while collecting the remaining details for the products selected. A useful starting point depended on understanding both the data and the advisor’s task.

The client record keeps the required information and progress through the work together.

Helped advisors follow the required checks as they prepare a protocol.

OVB also wanted the process to help protect advisors and the business from missed requirements. We built an anti-money laundering (AML) module that evaluates collected information, flags issues and routes relevant cases for legal approval. Where approval is required, the advisor cannot continue until the legal department has made its decision.

This keeps routine checks in the software and the referred decisions with the people responsible for them. Both new and experienced advisors follow the required process as part of preparing the protocol.

Let OVB update routine product settings without a developer.

We started with a focused first release, then expanded the application as new products and requirements emerged. Some introduced scenarios that affected functionality already in use. Regular meetings and daily communication with OVB helped us work through these changes alongside ongoing operations.

At the time of project reporting, Multiprotokol supported 554 products across 16 sectors. We also built an administration interface so OVB could maintain supported product parameters and requirements itself. Routine configuration could happen without a development request; changes to the application’s behaviour still needed development work.

For teams facing similar workflows, the useful starting point is to identify where information gets entered twice, where the same process restarts, and where a decision needs a person. Those details determine what the software should do.
